Who we are

AIDO MIND Limited is the data controller for the information described here. We are registered in England and Wales under company number 15422883, at 5th Floor, 167–169 Great Portland Street, London W1W 5PF. We are registered with the Information Commissioner’s Office under number ZC226000.

What we collect

If you only look around the site

Nothing that identifies you. The premises information published here comes from public records and is not linked to whoever is reading it. There is no account to create and no login.

If you ask us to look at your premises

Your name and the phone number or WhatsApp number you contact us on.
The address of the premises you are asking about.
Anything you choose to send us, which in practice means a photograph of a rates bill or a payroll screenshot.
Notes of what we discussed, so that whoever picks the matter up next is not asking you the same questions again.

We do not ask for bank details, card details, or anything about your personal finances. If you engage us, we will need the information required to act for you with the council. We will tell you what that is at the time.

If you message us on WhatsApp

The message travels through WhatsApp, which is operated by Meta and governed by its own privacy terms. We see what you send us. We do not have access to anything else on your account.

Why we hold it, and on what basis

To answer your enquiry and carry out the review you asked for. Our lawful basis is legitimate interests: you approached us about your own business premises and we cannot respond without holding your contact details. Where you instruct us to act, the basis becomes performance of a contract.
To keep records of work done and money recovered. Legal obligation, and our own legitimate interest in being able to evidence what was claimed and when.

We do not build profiles, we do not make automated decisions that have a legal effect on you, and we do not use your information to train anything.

Who else sees it

No one buys your details from us and no one is given them for their own marketing. We do not sell, rent or share contact information with other firms, brokers or lead generators. We do not accept payment to pass enquiries on.

Information is handled on our behalf by the suppliers that run our systems:

Website hosting and security, which processes the ordinary technical records any website generates.
Messaging and notification services, so that an enquiry reaches a person rather than sitting in a queue.
Document and spreadsheet storage, where the record of your matter is kept.

If you instruct us to act, we will pass what is necessary to your council, the Valuation Office (now part of HMRC), or HMRC. That is the point of the exercise, and we will tell you what is being sent.

How long we keep it

If you make an enquiry and nothing comes of it, we keep the record for 24 months and then delete it. If you become a client, we keep the file for six years after the matter closes. That is the period we may need it for tax and legal purposes. You can ask us to delete an enquiry record sooner and we will, unless we are required to keep it.

Contacting you

If you give us a number, we will use it to talk to you about the review you asked for. We do not add anyone to a mailing list and we do not run campaigns. If you would rather we stopped contacting you, say so once and we will stop. Any route will do, including a one-word reply.

Cookies and measurement

We use Cloudflare Web Analytics to see which pages people find useful and where they give up, and our own cookieless page measurement, which records how far down a page was read and for how long — nothing that identifies a visitor: no IP address, no browser fingerprint, no cookie. It sets no cookies and does not identify individual visitors. We set no cookies of our own, so there is no consent banner on this site and nothing here for you to accept or decline.

Your rights

Under UK data protection law you can ask us to:

tell you what we hold about you, and give you a copy;
correct anything that is wrong;
delete it, where we are not required to keep it;
restrict what we do with it, or object to us holding it on the basis of legitimate interests;
send it to you, or to someone else, in a portable form.

Ask by WhatsApp on 07594 933857 or in writing to the registered address above. We will respond within one month. There is no charge.

If you think we have handled your information badly, tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to come to us first.

Changes

If this policy changes materially we will change the date at the top and, where it affects people whose matters are live, tell them directly.
